Initial situation
Atlassian announced in February 2021 that it would be discontinuing its self-managed server products in mid-February 2024 (end of life). This presented FJD AG with the challenge of migrating the products it was using – Confluence, Jira Software, and Jira Service Management (JSM) – from the server to the cloud. It was no longer possible to purchase additional user levels for Atlassian server products and apps as of mid-February 2022. This meant that the system could no longer grow, which placed additional time pressure on migrating to the cloud.
The deadline and the limited availability of internal staff led FJD to decide to partner with codecentric AG to carry out the migration. The goal was to migrate the system securely and on time, without disrupting ongoing operations.
Solution
The exact requirements for a smooth migration to the cloud were discussed with the customer at the outset. This initial agreement was followed by an assessment phase that examined the Atlassian tools in use and their configuration objects. The aim was to evaluate the migratability of the applications and to provide possible alternatives for those objects that could not be migrated. The migration objects were listed in an overview and subsequently given a priority and an estimate of the effort involved
After analyzing the Atlassian stack provided, codecentric created a structured project plan, and the individual phases and responsibilities were then coordinated in collaboration with FJD. The project scope also included post-migration support services and user training in the new cloud environment.
Preparation and planning for the migration took a total of four weeks. codecentric coordinated all the requirements set out in the migration plan in close collaboration with FJD AG. Users were also regularly updated on the status of the migration.
Result
The rapid and timely migration of Confluence, Jira and JSM, as well as other apps essential to FJD's business processes, enabled the desired requirements to be met. Confluence, Jira and JSM Data Center were migrated to the cloud in May 2022, after less than a month of consulting.
The close collaboration between FJD and codecentric allowed data migration to be performed within 24 hours over a weekend, i.e. outside of service hours. No downtime was required, and production operations were not disrupted. The old instance was shut down at the end of business on Friday, while the new instance went live on Monday morning before the start of operations, ensuring a smooth transition to the new environment.
The Atlassian Cloud Migration project concluded with a review meeting, which allowed both FJD and codecentric to gain valuable insights for future projects. Both parties appreciated the excellent cooperation and transparent communication.
