Background
In order to offer its customers the highest quality, DVS cap GmbH subjects its products to continuous quality control during the production process. Random checks are carried out every 30 minutes to ensure quality standards. The results were previously documented manually on paper and then scanned in for internal processing.
In order to process orders efficiently, it is also important to consult quality data from past orders. In this way, a post-calculation based on figures and precise adjustment of order planning can be carried out. The data recorded manually in the past is also used here.
The process of manual recording has always been error-prone and laborious. Incorrect data makes correct documentation and subsequent evaluation difficult; as a result, orders cannot be optimally calculated and planned. Checking the recorded data takes several hours for large orders, as each entry has to be checked for accuracy and mathematical correctness. In total, this results in several days of working time per month, which not only led to a time burden for the team, but was also associated with significant costs. DVS cap recognized the need for a digital solution and turned to codecentric.

In the initial discussions between DVS cap GmbH and codecentric, a large, general digitization potential crystallized. The focus of an initial joint three-month project was therefore placed on digital order processing in consultation with the customer. A codecentric consultant worked with the customer two days a week to develop the requirements, create prototypes and implement the results.
The main objective was to seamlessly integrate the developed solution into DVS cap's existing infrastructure. Among other things, the company has a server for the office applications, the merchandise management system and the network drive. It was therefore crucial to create a user-friendly and resource-saving solution.
Iterative approach
To ensure that the order coordinators at DVS cap were not unduly distracted from their daily tasks and at the same time to ensure a smooth development process, codecentric opted for an iterative approach. By developing quickly and testing the results in a timely manner, codecentric enabled the employees of DVS cap GmbH to gradually familiarize themselves with the newly developed components without overloading their daily business. This continuous review created additional security in the process and left room for adjustments, which led to a sustainable and effective implementation of the new digital solutions.
Technical solution
On the technical side, a user-friendly Android app has been developed, although orders can still be entered via a desktop PC. This can be used to select the relevant order at the start of each shift. Every 30 minutes, the app reminds the relevant employee of the quality control and shows them the necessary steps. Employees can confirm the checks with a simple click, which simplifies the process considerably.
At the end of the shift, all that is required is to enter the total number of packaged products. A preliminary report is then immediately stored on the network drive in a known structure. In addition, the collection of data in real time enables significantly improved monitoring of the progress of each order.
Once an order is completed, the data collected is consolidated and stored in a structured report. This report contains important statistics on the job, which enable production performance to be analyzed and at the same time provide support for the calculation of further jobs.
Result
Together with DVS cap GmbH, codecentric has developed an innovative, digital solution that takes the quality process to a new level and supports the company in its first steps towards digital transformation. Thanks to the newly developed Android app for entering orders and the automatic reminder function for quality checks, daily processes have been greatly optimized and efficiency has been increased throughout the company. Manual calculation errors are now a thing of the past - thanks to the automation and standardization of processes.
In addition, the digital solution has already provided new insights into internal processes shortly after its introduction, which can support future decisions in terms of pricing, process management of orders and data-based post and pre-calculations. This represents significant progress for DVS cap GmbH and marks the first proud step towards digitalization.
The solution also integrates seamlessly into the existing infrastructure and requires no further system adjustments. The app is designed to be so flexible that future connections to other systems are possible at any time if required.
Furthermore, the app simplifies collaboration within the company. In the event of vacations or illness, tasks can be shared more easily, as all relevant documents are available to authorized employees at all times. Onboarding new employees is also supported by the intuitive operation and direct form of the application.
The app also scores highly in terms of sustainability: the digitalization of the paper economy eliminates several thousand printouts every year, significantly reducing paper consumption. This protects the environment and reduces costs. In addition, the documents are always available for audits and verification requirements, which significantly increases transparency and competitiveness.
The bottom line is that DVS cap can save several working days per month and concentrate fully on the essentials - and the development costs have already paid for themselves after just a few months. The employees enthusiastically accepted the new digital solution after just a short time and even after several weeks of use, the feedback was consistently positive.
