Optimizing Complex Business Processes with Custom Jira Apps
How PROTONES GmbH & Co. KG significantly simplified day-to-day work in Jira with the “Epic Organizer”.
PROTONES GmbH & Co. KG is a project- and service-oriented technology company specializing in event, AV, and media technology. The company designs, integrates, and manages technical systems for event venues, businesses, cultural and educational institutions, and maritime operators. Its services range from technical planning and implementation to service, maintenance, and support during ongoing operations. In the maritime sector, PROTONES specializes in assisting cruise lines with the implementation and support of entertainment, media, and AV systems. The focus is not on individual components, but rather on the reliable interaction of all systems throughout their entire lifecycle.
The project at a glance
- Greater transparency in Jira: Complex, linked issues are clearly structured and easier to understand
- More efficient processes: Key actions can be completed directly from the overview instead of through manual navigation
- Tailored instead of off-the-shelf: Custom Jira extension precisely adapted to the customer’s requirements
- Fast implementation, immediate impact: Developed within just a few days with direct added value for users
Background
PROTONES GmbH & Co. KG is a full-service technology partner for sophisticated event technology projects and specialized services. As a result, its internal processes are equally diverse: workforce planning, procurement, scheduling, recruiting, support, and administrative processes all interact and need to be managed efficiently.
To centralize these processes, PROTONES migrated to Jira Service Management as its central business platform. However, as usage increased, so did the complexity. Numerous issues became interconnected, information was spread across different processes, and users quickly lost track of relevant tasks and dependencies.
This became particularly problematic in day-to-day operations: employees first had to manually search for relevant issues, trace relationships themselves, and work through extensive lists. Standard solutions from the Atlassian Marketplace were evaluated but could not adequately meet Protones’ specific requirements.
Solution
codecentric AG developed a custom extension for Jira in close collaboration with PROTONES: the “Epic Organizer”.
The custom Forge app was specifically designed to present linked issues in a clear and structured way, enabling users to work with them more efficiently. Instead of navigating through unstructured lists, users now receive a well-organized overview of all relevant topics — sorted by type, context, or processing status.
In addition, key actions can now be performed directly from the overview, including:
- Adjusting responsibilities
- Changing statuses
- Processing related issues more efficiently
- Filtering relevant information more precisely
From a technical perspective, the solution was implemented as a lightweight custom plugin directly integrated into Jira. From the initial idea to productive deployment, only a few weeks passed, while the actual development time amounted to just four days.
Result
With the “Epic Organizer,” PROTONES GmbH & Co. KG significantly simplified daily work in Jira. Employees can now find relevant information faster, maintain oversight even across many linked issues, and manage processes more efficiently.
At the same time, the company benefited from a solution tailored exactly to its own requirements — without unnecessary additional features from external off-the-shelf apps or ongoing licensing costs.
The project is a strong example of how even smaller, targeted custom developments can create substantial value: quickly implemented, economically viable, and delivering direct benefits in everyday operations. Due to the project’s success, additional expansion stages and further apps are already being planned jointly.
