Future-proof AI solution: How a step back can help to go beyond
Thanks to a clear focus on real use cases, a PoC could be set up in a scalable manner and added value was created for users.
STAEDEAN B.V. is a global SaaS ISV (independent software vendor) focusing on Microsoft Dynamics 365 and specializing in companies in the manufacturing, life sciences, and equipment rental sectors. The Dutch IT company has over 2,200 customers in more than 45 countries, helping its customers to streamline processes and make better use of data through modernized rental, data, and ERP solutions with AI support.

Background
STAEDEAN has been working for many years to provide its customers with powerful tools for data integration, process support, and automation. One of the most important products in its portfolio is Connectivity Studio, a tool used by many customers to efficiently exchange and process technical data from Dynamics systems. The product is business-critical: new features and a high level of user-friendliness directly contribute to customer satisfaction and market positioning.
In order to further develop the product, STAEDEAN wanted to use generative AI (GenAI). The idea was to have an intelligent assistant enrich Connectivity Studio with additional information, for example by making it easier to find technical objects or tables. The AI-supported solution was intended to enable quick import and export from Microsoft Dynamics (ERP) even without specialist knowledge, saving users time, speeding up processes, and making the entire product more intuitive to use – even for non-technical users.
STAEDEAN launched a proof of concept (PoC) together with a first provider. However, the project did not progress beyond the concept phase: the technical implementation did not work as expected, the solution was not stable in operation and, above all, it was not scalable. At the same time, there was no clear picture of which specific use cases should be solved and what the end users' needs actually were.
In this situation, Staedean turned to codecentric with a request to review the existing PoC, identify technical weaknesses, and make the solution functional again. What started as a small request developed into a strategic development project with high relevance for STAEDEAN's product portfolio.

1. Analysis of the initial situation
The first step was a detailed review of the existing PoC. It quickly became clear that the technical architecture used was not suitable for meeting STAEDEAN's requirements in the long term. At the same time, it became apparent that the original PoC had been developed without a clear definition of use cases. Neither roles nor user needs nor specific problems had been described. As a result, the solution path was unclear, functions were ineffective, and the project lost its direction.
2. Focus on user needs
A central element of the reorientation was therefore consistent work with customer use cases. Together with STAEDEAN, the following questions were developed:
Who uses the Connectivity Studio and what role does each feature play in everyday work?
What specific problem needs to be solved?
How should the solution be integrated into the existing product?
Which tasks are really relevant to AI – and which can be solved more easily via user experience or classic logic?
This focus on users was a turning point for the project. It helped to outline where AI promised real added value – and where other solutions made more sense.
3. Technical redesign based on RAG
Based on this analysis, codecentric and STAEDEAN decided to redesign the PoC. Instead of only focusing on limited data, a RAG (Retrieval Augmented Generation) system was used. The AI model is not retrained with all data, but instead accesses relevant information in a specially optimized database for each query. This is faster, more flexible, and much easier to scale.
This approach was crucial for STAEDEAN because a large number of tables and objects have to be processed. In addition, data changes over time. The solution therefore had to be robust, expandable, and high-performing.
4. Implementation by a small, efficient team
The project was implemented by a two-person codecentric team:
An infrastructure consultant responsible for architecture, deployment, and operations in Microsoft Azure
A GenAI consultant who took care of implementation, use case definition, UX consulting, and technical management – including sparring for the STAEDEAN team
A three-person team was involved on the client side. The collaboration quickly developed into a trusting partnership. Joint prioritization and planning proved particularly valuable: instead of building a large solution all at once, the team worked step by step on clearly defined use cases, each of which delivered concrete added value.
On a technical level, the team used the client's existing Azure cloud environment as a scalable basis. A lightweight framework (Streamlit) was deliberately used for the first prototypes in order to quickly test the core idea and iteratively refine the logic. Once this was working reliably, the functions were transferred to a Microsoft Copilot-based solution, which both improves user guidance and provides a compelling showcase for internal and external stakeholders.
5. Agile collaboration and fast results
It took just under four months from the initial realignment to the finished, stable, and scalable PoC. During this time, the following was achieved:
the architecture was completely rebuilt,
use cases were clearly defined,
UX prototypes were analyzed and optimized,
the RAG system was developed in line with production requirements,
performance was significantly improved, and
the solution was fully integrated into Azure.
The codecentric team not only acted as developers, but also as methodological guides – especially for UX issues, prioritization, and product strategy.
Result
With the new PoC, STAEDEAN gained a functional, robust, and above all scalable AI solution that significantly enhances Connectivity Studio. At its core is an AI-supported workflow that enables users to identify and utilize the required (technical) data in Connectivity Studio using simple, natural language.
1. Restored functionality – and beyond
What originally started as a simple “please fix” request developed into a solution that paved the way for genuine product innovation. STAEDEAN was particularly impressed by the fact that the codecentric team not only stabilized the PoC, but also strategically developed it further.
2. Noticeably better performance
One of the most important advantages is speed. Where lengthy queries were previously necessary, the new solution delivers results in a fraction of the time. This means that both STAEDEAN and its customers benefit directly from more efficient processes.
3. Clearly defined use cases and genuine customer focus
By consistently focusing on user needs, a technically oriented project was transformed into a customer-oriented product feature. STAEDEAN now offers:
- clearly documented use cases,
- a deep understanding of end user needs, and
- a roadmap for future enhancements.
4. Future-proof technical basis
The new RAG architecture enables STAEDEAN to flexibly expand the system—whether through additional data sources, new application scenarios, or additional features in Connectivity Studio.
5. Strong partnership and high satisfaction
Over the course of the project, a relationship of trust developed between STAEDEAN and codecentric. The methodological support, focus on usage issues, and rapid implementation were particularly highlighted.
